The Controller’s Division in the Department of Management and Financial Services is seeking a highly motivated, team oriented, energetic professional to fill a Supplier Administrator position for the County of Loudoun. This position will be responsible for the following: maintain a uniform and consistent Oracle Supplier Database of vendors and customers to ensure standard conventions for vendor and customer names, addresses and sites; validate tax ID and name for all vendors using the IRS TIN Matching system to ensure accurate information reporting; maintain guidelines for entering and maintaining vendors/customers; add and maintain vendor/customer information, deactivate obsolete vendors/customers and merge vendors/customers following guidelines; setup and maintain vendor/customers for use in Oracle’s i-Supplier module, including granting on-line access; maintain training guide and provide assistance to end users (departments and vendors) on the use of the system; evaluate vendor qualification questionnaire for contractor vs. employee status; approve request forms from departments for adding and updating vendor data; perform testing and collaborate with other team members during periodic software upgrades and implementations; maintain supplier tax data setup related to B-notices and 1099 tax reporting; issue and track B-notice letters following IRS guidelines; provide assistance with standard and ad-hoc reports related to vendor/customer data; ensure compliance with all Federal, State, and local regulations including those applying to backup withholding and vendor profile management; review and interpret existing and future State and Federal code changes, regulations and guidelines and implement any necessary changes, review Federal and State tax regulations to insure the proper preparation and distribution of Forms 1099 to County vendors; and assist in preparation of 1099-MISC, 1099-INT, and 1098 mortgage interest. This position will also assist supervisor to accomplish division workload and meet department objectives; perform extra duties and provide support to co-workers as needed or as required by the supervisor. Demonstrate independent initiative by anticipating problems, presenting solutions and resolving problems.


Requires any combination of education and/or experience equivalent to a bachelor’s degree in Business, Finance, Accounting or equivalent and two years of experience in accounting or equivalent work.
