Background

The 9920 Public Service Aide – Assistant To Professionals position in the Public Service Aide series is designed to offer various types of trainee or entry level employment opportunities in a variety of settings. These positions provide an introduction to career options and role models while allowing incumbents to learn about the work environment. Some positions may be allocated for participants in special programs designed to reach disadvantaged youth, those who have encountered difficulty in obtaining employment, or other special populations.  

Internship Description

This an internship with the Office of the Controller’s Accounting Operations and Systems Division (AOSD). 

The City's current financial system (FAMIS) is a proprietary system, but the City is in the process of implementing PeopleSoft Financials as the replacement. In this program, interns will have an opportunity to assist with the system transition and receive training to gain exposure in both system's component and functions. The knowledge gained in the internship can be utilized in one of the several classifications within AOSD: 1630 Account Clerk; 1820 Jr. Administrative Analyst; 1840 Jr. Management Assistant; 1649 Accountant Intern.

Duties

Under immediate supervision, essential duties include, but are not limited to the following:

  • performs office related responsibilities, including: data entry, filing vendor documents, scanning documents, calling vendors, responding to vendor inquiries, emailing vendors, and others; and assists in preparing accounting entries related to reconciliation activities.
  • assists in preparing and processing data as well as data clean up.
  • work with staff to ensure accuracy of data.
  • utilize personal computer applications, including spreadsheet, database, statistical software packages, and web search and information methods to access data, perform data entry and analysis.
  • communicates effectively, both orally and in writing, including dealing with management and team members on a variety of complex and sensitive issues.
  • establishes constructive working relationships with various city employees, management, and the general public.

Intern Mentors and Supervisors 

During the internship, Interns are assigned a Mentor and Supervisors to guide and train them. In some cases, the Mentor and Supervisor can be the same person. Mentors and Supervisors work closely together to provide Interns with comprehensive, quality training. 

Minimum Qualifications

30 semester units (or 45 quarter units) of coursework from an accredited college or university.

Desirable Qualifications:

The stated desirable qualifications may be used to identify job finalists at the end of the selection process when candidates are referred for hiring:

- Strong interest in government/accounting/finance

 

- Experience in providing clerical support or customer service in a professional office setting

- Excellent computer skills/ knowledge in Excel

- Excellent oral and verbal communication

Selection Procedures

The selection process will include evaluation of applications in relation to minimum requirements.  Applicants meeting the minimum qualifications are not guaranteed advancement to the interview. Depending on the number of applicants, the Department may establish and implement additional screening mechanisms to comparatively evaluate the qualifications of candidates.  If this becomes necessary, only those applicants whose qualifications most closely meet the needs of the Department will be invited for an interview.

Conviction History

As a finalist for a job, you will be fingerprinted, and your fingerprints will be sent to the California Department of Justice (DOJ) and the Federal Bureau of Investigation (FBI). The resulting report of your conviction history (if any) will be used to determine whether the nature of your conviction (or arrest, in limited circumstances) conflicts with the specific duties and responsibilities of the job for which you are a finalist. If a conflict exists, you will be asked to present any evidence of rehabilitation that may mitigate the conflict, except when federal or state regulations bar employment in specific circumstances, such as:

  • Candidates applying for positions with the Unified School District and the Community College District may be disqualified from consideration should their conviction history not meet the standards established under the California Education Code.
  • Candidates applying for positions with the Recreation and Park Department may be disqualified from consideration should their conviction history not meet the standards established under California Public Resources Code 5164.

Having a conviction history does not automatically preclude you from a job with the City.

Disaster Service Workers

All City and County of San Francisco employees are designated Disaster Service Workers through state and local law (California Government Code Section 3100-3109). Employment with the City requires the affirmation of a loyalty oath to this effect. Employees are required to complete all Disaster Service Worker-related training as assigned, and to return to work as ordered in the event of an emergency.
