Main Purpose of Job

This position serves as an Executive Assistant to the Assistant Secretary responsible for coordinating multiple divisions; communicating with statewide leadership; and managing inventory processes within the Office of the Secretary and providing administrative support to real estate services within the Department.

POSITION DUTIES

Coordinates the administrative activities of the Capital Programs division in the Office of the Secretary to include, but not limited to the following:

  • Arrange appointments, schedule meetings, and maintain the calendar of the Assistant Secretary of Capital Programs
  • Review, prioritize, and distribute incoming correspondence
  • Maintain an easily accessible filing system for important and confidential records, both electronic and hard copy
  • Compose execitive letters/memos to Agency Directors, departmental staff, and outside agencies
  • Coordinate the flow of communications among the Asssitant Secretary's multiple reporting units to inluce, the Division of Capital Contstruction and Facilities Maintenance, Environmental Compliance, Safety and Emergency Operations, and Real Estate Services and Special Projects
  • Track all requests for emergency procurements, approvals, and reporting processes to the Board of Public Works for approval by the Assistant Secretary
  • Track and monitor State Clearinghouse property issues with the Maryland Office of Planning for approval by the Assistant Secretary

MINIMUM QUALIFICATIONS

Education: A Bachelor's degree from an accredited college or university.

Experience: Four years of experience in administrative staff or professional work.

Notes:

1. Additional experience in administrative staff or professional work may be substituted on a year-for-year basis for the required education.

2. Additional graduate level education at an accredited college or university may be substituted at the rate of 30 semester credit hours on a year-for-year basis for the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work related to the administration of rules, regulations, policy, procedures and processes, or overseeing or coordinating unit operations or functioning as a staff assistant to a higher ranking commissioned officer on a year-for-year basis for the required education and experience.

SELECTIVE QUALIFICATIONS

Experience with Maryland state government process and regulations as it relates to managing policy and procedures for key departmental programs, goals and activities.

 

 

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following preferred qualification(s). Include clear and specific information on your application regarding the qualifications.

Prior experience directly representing secretariat level team through interaction with the Governor’s Office, federal and state legislators, and state executive leadership by preparing communications and providing awareness of key departmental programs and activities.
