Main Purpose of Job

This is a paraprofessional Contractual position responsible for providing specialized HR administrative support to the Talent Acquisition and Records Sections within the Office of Human Resources.

POSITION DUTIES

Establishes, organizes, and maintains personnel files; Assures that personnel information is filed correctly and that confidential information is filed in appropriate areas; Responds to telephone inquiries from the public, visitors and employees concerning HR related information; Schedules Interviews for various projects, greets interviewees, collects reference information, and escorts applicants; Conducts and initiates employment reference and credential verification; organizes and assembles training materials, contractual employment packets, new employee orientation materials and other documentation;  Prepares information for distribution to employees or transfer to mailroom for delivery; Enters applicant data into the applicant tracking system; Manages the duplication-copying of official documents, reference materials, credentials, transcripts, and other  applicant licensure-certification

MINIMUM QUALIFICATIONS

EDUCATION: Graduation from an accredited high school or possession of a high school equivalency certificate.

EXPERIENCE: One year of general clerical or administrative support experience.

Note:

  1. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in human resources assistance classification or human resources assistance specialty codes in the human resources management field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Knowledge of standard office practices, procedures, systems and equipment; knowledge of basic business English, spelling, punctuation, grammar, and of basic mathematics; ability to understand and interpret HR policies, regulations and rules; ability to prepare and maintain personnel records, forms and procedures; ability to maintain confidentiality for all HR-related activities; ability to establish and maintain effective working relationships with employees, supervisors, public officials, and the general public; ability to communicate effectively with employees, supervisors, and the general public.

LIMITATIONS ON SELECTION

Proof of eligibility to work in compliance with the Immigration Reform and Control Act and possible travel throughout the State are required. Any misrepresentation of academic or experience requirements for this position may result in non-selection or termination of employment.

BENEFITS

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program (the Program), have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents.  As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.

Leave may be granted to a temporary/contractual employee who has worked 120 days in a 12 month period. This leave accrues at a rate of one hour for every 30 hours worked, not to exceed 40 hours per calendar year.
