Main Purpose of Job

This position is responsible for providing high level administrative and technical support to the Director and Deputy Director for Constituent and Community Services Office. The Executive Assistant will review assignments for signature the Department's Constituent Correspondences addressed to the department's Secretary and/or Governor regarding complaints, inquires and concerns related to benefit compliance with regard to Temporary Cash Assistance, Child Support, and Child and Adult Protective Services.

POSITION DUTIES

Responds to and screens calls, emails and visitors to the Director's Office. Maintains the Director's calendar and agenda for group meetings.  Prepares Power Point presentations, uses Word an Excel to complete various documents.  Assists in budget preparation, monitoring and preparation of statistical reports. Manages end to end projects as assigned by the Director and Deputy Director, including research, analysis, recommendation and execution; may have budget judgment and authority on assigned projects.  Organizes programs, events, meetings or conferences including arranging facility, issuing information or invitations, coordinating speakers and controlling event budget.  Works closely with both the Director and Deputy Director to ensure that all projects are up to date.  Serves a Liaison with internal operations and community partners regarding policy or issues related to the Department. Reviews and responds to written correspondence for the signature of the Director, Constituent and Community Services in response to citizens who write to the Secretary, DHS or the Governor, as requested by the Director or Deputy Director. 

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

The ideal candidate will possess the following:

  • Experience as administrative support to a Director
  • Proficient with Power Point, Word and Excel
  • Experience monitoring a budget and budget reporting
  • Experience organizing events, meeting and conferences

 

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BENEFITS

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program (the Program), have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents.  As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.
