The Chief of Staff is currently accepting applications from qualified Merit and Contractual employees of the Department of Labor, Licensing and Regulation (DLLR) for the position of Management Associate.

Main Purpose of Job

To provide administrative support and assistance to the Office of the Chief of Staff. Provide administrative support to the Office of Secretary when needed.

POSITION DUTIES

  • Serves as Executive Administrative support to the Chief of Staff as well as provides administrative support to the Directors assigned to the Office of the Chief of Staff.  Manage the schedule by prioritizing appointments; maintains a executive correspondence filing system (electronic and otherwise); coordinates mail and resolving procedural issues that relate to operations of the office.  Tracks and distributes the workload of the office in effective and timely manner.  Ensures that matters of a sensitive and confidential nature are executive appropriately.  This position supports the Executive Assistants to the Secretary and Deputy Secretary. 
  • Maintain a data log of agency-wide travel requests, process travel requests for the Office of the Secretary, process grants and expense request.  Coordinates schedules and travel arrangements.  Coordinates with Office of General Services for parking passes for visitors to Office of the Secretary.  Receives mail for 4th floor and distributes it appropriately to the correct division.
  • Receives visitors, answers telephones, and provides prompt, courteous response and helpful information to Office of the Secretary's staff, DLLR's Assistant Secretaries, Commissioners, Executive Directors, Public Officials, visitors and customers.  This includes but is not limited to assisting the Director of Constituent Outreach with customer service inquiries through the Governor's correspondence system (IQ) as needed, helping to organize various internal customer service activities (Employee of the Month, Employee Appreciation Day, Maryland Charity Campaign on behalf of OOS) and duties at the front desk.
  • Assumes role as Accountable Officer for inventory management purposes, ensures office equipment is properly identified and recorded.  Completes annual inventory.  Ensures adequate level of office supplies are maintained.  Coordinates purchases of material within budgetary limits as necessary.  Enter requisitions into FMIS as directed.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following. Include clear and specific information on your application regarding the qualification(s).

  • experience working with executive level and/or senior level leadership

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.

A copy of your proof of eligibility (DD 214) for Veterans’ Credit must be in this office and completely verified before Veterans’ Credit will be approved.  Permanent State employees do not need to submit proof of eligibility for Veterans’ Credit.
