Introduction

The Maryland Institute for Emergency Medical Services Systems (MIEMSS) oversees and coordinates all components of the statewide EMS system (including planning, operations, evaluation, and research), provides leadership and medical direction, conducts and/or supports EMS educational programs, operates and maintains a statewide communications system, designates trauma and specialty centers, licenses and regulates commercial ambulance services, and participates in EMS-related public education and prevention programs.

Main Purpose of Job

The incumbent will provide financial support, administrative support, and secretarial services to the MIEMSS Communications Department as the department designs, provides, and maintains voice and data communications to the Maryland EMS Community. In addition the individual will perform receiving/inventory support for the whole agency. This position reports directly to the Deputy Director of Communications.

1. This position creates and maintains Excel spreadsheets to track the Departments financial accounts on a daily basis.

2. This position creates Excel charts to display budget compliance on a weekly basis for the Deputy Director's review.

3. This position creates Excel spreadsheets to track inventory and develop inventory reports imported from other Excel spreadsheets.

4. This position maintains the spreadsheet of Federal Communication Commission licenses held by the department and notifies the Director of any license issues

5. This position maintains the spreadsheets of vehicle mileage logs and creates links to scanned documents

6. This position maintains the asset responsibility spreadsheet and creates links to scanned documents.

7. This position receives and processes all shipments for the agency.

8. This position identifies, tags and records all newly received Agency assets to insure state inventory compliance.

9. This positions reports daily to the Baltimore office. (M-F 7:30 a.m. to 4:00 p.m.)

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

The candidate should be proficient in MS Excel, being able to create spreadsheets to track department activity using calculations and formulas which utilize relative, absolute, and mixed references and able to enhance the understanding of the data by using Excel Formatting and Charting tools.  The candidate should also be able to use basic Excel functionality such as protect sheet, protect workbook, spell check, sorting and filtering.

FMIS experience desirable

Ability to lift all boxes delivered by UPS and FedEx

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees appointed to positions in this classification may be assigned duties which require the operation of a motor vehicle.  Employees assigned such duties will be required to possess a driver’s license valid in the State of Maryland.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
