Main Purpose of Job

To provide secretarial, clerical and record keeping services in an accurate and timely manner that ensures the smooth transition of detained youth within JSE schools as well as back into their community schools. The position also requires the timely request, attainment and organization of student records.

POSITION DUTIES

  • Creates and maintains student cumulative records;  
  • Ensures the prompt request and receipt of all student records (in adherence to the JSE  timeframe and COMAR standards)   
  • Facilitates the timely transfer of student records for all youth released from the JSE facility   
  • Update student cumulative record files and/or on school database for monthly report accuracy     
  • Receive telephone calls and visitors, exercising good judgment, courtesy tact and discretion in handling information, answering routine inquiries, and conveying messages to staff when required   
  • Ensure prompt responsiveness when requests from schools are made for student records and/or information.     
  • Prepare and disseminate daily student information on location changes and status as well as schedules     
  • Secure bids, draft and type requisition forms, monthly reports and other materials  

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

One year of record keeping experience.

Microsoft Office Suite (Excel, Word, PowerPoint, and Access)

Maintain Statistical Data for Departmental Report

LIMITATIONS ON SELECTION

Proof of eligibility to work in compliance with the Immigration Reform and Control Act and travel throughout the state are required. Any misrepresentation of academic or experience requirements for this position may result in non-selection or termination of employment

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
