Introduction

The Department of Labor, Licensing and Regulation (DLLR) Office of Audits is currently accepting applications from qualified candidates for the CONTRACTUAL position of Office Secretary I.

The resulting list of eligible will be used to staff this position or function only. This list will be maintained for one year.

Main Purpose of Job

The main purpose of this position is to provide direct secretarial support and assistance to the Director by transmitting instructions to and coordinating clerical work within the unit. This position also serves as the Director's scheduler, and provides assistance to the Office of Audits on matters such as travel, procurement, forms management, record retention and other procedures necessary to ensure efficient day-to-day operation.

POSITION DUTIES

Schedule and cancel appointments for the Director as necessary. Receives telephone calls and visitors and arranges for appointments and interviews. Opens, sorts, reads and distributes incoming correspondence. Make sure meeting materials are put into useable form for the Director. Update and print calendar daily. Determine briefing needs for the Director for meetings, speeches and presentations.    

Draft correspondences for the Director’s signature. Apply knowledge of the unit’s policies, procedures, rules and regulations. Maintains OPAA’s correspondence database, and establish due dates to ensure timely responses to correspondences.  Proofread letters prepare for the Director’s signature. Route correspondences and telephone calls to units within the Department for a response.  Respond to emails sent to the Director.  

Research and prepare background information for the Director that will assist in responding to operational issues and other confidential records.      

Track and maintain expense accounts and office supplies. Prepare procurement, travel, and training requests as well as expense vouchers. Review these forms for completeness and accuracy.      

Maintain important and confidential records and reports. Maintain the Central filing system for use by the Director and all OPAA staff.  

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services Specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Strong preference will be given to applicants that possess the following. Include clear and specific information on your application regarding the qualification(s).

Proficient in Microsoft Word and software related to Office Management.

Ability to type 40 words per minute.

Excellent Customer Service Experience.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (DLLR/DUI) to determine whether any monies are owed to DLLR/DUI as a result of unemployment overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.

BENEFITS

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program (the Program), have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents.  As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.
