Main Purpose of Job

This position will assist with planning events, logistics, coordination, execution and evaluation; will be responsible for coordination small to mid-size in person and online fundraising events and will develop relationships with potential clients and vendors.  This job requires a passion for detail, organization and creativity; budgeting, marketing an public relations skills along with an understanding of how to leverage digital/social media.

POSITION DUTIES

  • Manage all aspects of event planning of revenue generating (fundraising) events and functions such as online auctions, raffles, small-scale gala-esque, pledge-based, screening, and other social events.
  • Assist with the creation, planning, management, and execution of large scale revenue generating (fundraising) events and functions.
  • Manage and coordinate with various departments to promote and market events via a variety of methods including but not limited to email, mail, web and social media.
  • Compose, create, edit and deliver email newsletters, event promotion, surveys, RSVP's, and fundraising messages.  Upload, de-dupe and segment files to reach target audiences.  Run and analyze click-thru and open reports.
  • Research and cultivate relationships with prior, current and prospective corporate partners to assist with securing traditional event sponsorship's, media sponsorship's, and in-kind support
  • Participates in the creation, planning, and management of new and existing projects.
  • Assists with developing new audiences through grassroots efforts, community partnerships, target marketing and more.
  • Interact and collaborate with cross-functional teams including corporate support, foundation/grants, operations, content, web, development, staff, volunteers and outside vendors to ensure execution of special events as well as manage sponsorship and/or trade revenue for various events/projects.
  • Assist the Managing Director, Special Events & Community Engagement in creating, managing, executing and overseeing an annual department budget along with multiple project budgets with responsibility for success.
  • Ensure Special Events activities are accurately and timely fulfilled for MPT, community partners and grantors, adhering to all scheduling deadlines.
  • Assist with creation on RFP's (Requests for Proposals) adhering to all state procurement regulations.
  • Maintains inventory of equipment and parts and completes necessary inventory paperwork.

MINIMUM QUALIFICATIONS

Education: Bachelor's Degree in event planning, public relations, marketing, communications or related field.  Relevant experience may be substituted for education.  

Experience: Two years of experience in event planning, promotions, marketing, community engagement, customer service or public relations.

DESIRED OR PREFERRED QUALIFICATIONS

  • Experience in creating, managing and producing a variety of fundraising events.
  • Coordination event details including logistics, budgets, vendors, timelines, sourcing products; knowledge of event rentals and venues.
  • Two years of fundraising and development experience preferred.
  • Proven track record of bringing in and working with sponsors.
  • Proven track record of volunteer recruitment and management.
  • Familiarity with online email platforms (Convio, Luminate, etc.) and social medial platforms (Facebook, Instagram, Twitter, etc.).
  • Must posses excellent organizational, verbal and written communication skills.
  • Computer proficiency (MS Office). 

SPECIAL REQUIREMENTS

Flexibility to work occasional irregular hours, including evenings and weekend.
