Introduction

By law, DJS is a child-serving agency responsible for assessing the individual needs of referred youth and providing intake, detention, probation, commitment, and after-care services. DJS collaborates with youth, families, schools, community partners, law enforcement, and other public agencies to coordinate services and resources to contribute to safer communities.

Main Purpose of Job

The position will provide administrative assistance to the Division of General Services. The Administrative Aide will support the Office of Fleet Management and Inventory Control.

POSITION DUTIES

The Administrative Aide will work within the General Service unit to assist the Fleet Manager with inventory control and other fleet management duties. The incumbent will also be responsible for a variety of administrative functions that includes maintaining spreadsheets, composing memos, creating data charts, and updating PowerPoint slides.  The Administrative Aide will conduct research across various databases to compile information that is needed to determine how Fleet Management can continue to serve DJS at an optimum level of performance.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Candidates must have at least one year of  Inventory Control experience 

DESIRED OR PREFERRED QUALIFICATIONS

Candidates who possess the following experienced are desired:

Experience using MicroSoft Word to compose routine memorandums/correspondence and forms

Experience composing spreadsheets and creating tables using Microsoft Excel and/or Access programs

Experience using Power Point to create and/or edit graphs and presentations

Experience performing fleet management duties

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
