Introduction
The Maryland Unemployment Insurace Division is currently looking to fill an Adminstrative Aide position for Office of the Assistant Secretary.

LOCATION OF POSITION

Main Purpose of Job
The main purpose of this position is to act as office secretary to the UI Deputy Assistant Secretary of the Division of Unemployment Insurance and support staff.
POSITION DUTIES
Answer claimant phone calls regarding questions about unemployment insurance claims using various MABS screens. Type correspondence and various reports for UI Deputy Assistant Secretary and staff. Process monthly and bi-weekly time sheets for division staff. Process expense and travel vouchers for division staff. Order supplies and equipment through the FMIS system. Maintain various office equipment (photocopier, shredder, scanner). Maintain and keep mileage log of State Vehicles.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Four years performing secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
SELECTIVE QUALIFICATIONS
Must possess at least one (1) year of FMIS I MABS experince.
DESIRED OR PREFERRED QUALIFICATIONS
Proficient in office software (Word, Excel, Powerpoint); possess excellent communication and organization skills.

SPECIAL REQUIREMENTS
All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (DLLR/DUI) to determine whether any monies are owed to DLLR/DUI as a result of an unemployment insurance overpayment and/or fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.

BARGAINING UNIT STATUS
The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.

A copy of your proof of eligibility (DD 214) for Veterans’ Credit must be in this office and completely verified before Veterans’ Credit will be approved. Permanent State employees do not need to submit proof of eligibility for Veterans’ Credit.
