This is a Political Special Appointment position serving as the Assistant to the Assistant State Superintendent for the Division of Library Development and Services. The resulting eligible list will be maintained for one (1) year. Main Purpose of Job

Provides administrative support and coordinates daily activities of the Assistant Superintendent for Library Services; reviews Division correspondence and determines appropriate action; schedules and coordinates appointments; meeting and special events; prioritizes and completes correspondence and maintains a comprehensive documents management system; requisitions and purchases supplies and reconciles invoices; serves as liasion to the overall operations of the Publin Library and State Networking Branch and the Maryland State Library for the Blind and Physically Handicapped.

POSITION DUTIES

The incumbent will act as personal secretary to the Assistant Superintendent; acts as intermediary for the Assistant Superintendent, maintaining frequent contacts with public and private executives, professional staff and other officials; manage the Superintendent's incoming mail, telephone, and e-mail requests; determines appropriate course of action forresponse; composes routine and complex correspondence; prepares and maitains statistical and numerical reports andrecords; assists with the development of budget for division initiatives; prepares, processes, and tracks purchase requisitions, expense accounts, contracts, and other documents. The incumbent will performs other duties assigned.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five (5) years of progressively responsible secretarial or administrative experience within a professional office environment. One year of experence in Offce Management is desirable.

DESIRED OR PREFERRED QUALIFICATIONS

Five or more years of professional experience in detailed administrative work (i.e., reviewing information; maintains important and confidential records, schedules, expense accounts and office supplies).

Five or more years of experience preparing, processing and maintaining purchase requisitions, expense accounts, contracts and other documents.

Five or more years experience assisting with the preparation of budget for Division initiatives.

Extensive customer service skills in an office setting responding to inquiries from email, phone or written requests is preferred;  Handles logistics for meetings, conferences, and seminars as appropriate.

Proficient in Microsoft Word Office (Excel, Word and Access).
