Main Purpose of Job

This position provides administrative and secretarial support to the Executive Director, Maryland Commission for Women (MCW) and 25 members of the Commission for Women. The incumbent will work with a diverse group of internal and external customers on both routine and sensitive issues with a consistently high level of customer service.

POSITION DUTIES

Typing, filing, and scheduling for the office. Performs duties such as coordination of meetings, preparing meeting materials, recording official minutes, obtaining supplies, and working on special projects.  Answers routine and non-routine correspondence and assembles confidential and sensitive information.  Responsible for procurement, processing payments and fiscal record keeping, including monthly expenditure reports, interface with FMIS and Oracle applications, and maintaining MCW website content.  Assists in organizing MCW events including facility and speaker coordination, registration, publicity and implementation.  Uses office skills to handle communications; file organization and management; equipment maintenance, and software including word processing, spreadsheets, databases and presentations, reports and letter preparation.  Use independent judgment to plan, prioritize, and organize a diversified workload.  

MINIMUM QUALIFICATIONS

Please describe in detail any job duties relating to the minimum qualifications stated below and include any computer software experience (Excel, Powerpoint, Word, etc.) used in the each of the positions you held.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

Applicants must meet both the Minimum and the Selective qualifications.

SELECTIVE QUALIFICATIONS

One year of experience using Microsoft Office Suite (WORD, EXCEL AND POWERPOINT).

DESIRED OR PREFERRED QUALIFICATIONS

General office management and administrative support;
Competence with Microsoft Office Suite (Word, Excel, Powerpoint);
Experience with budget and financial record keeping and monitoring;
Experience with purchasing/procurement and payment processing;
Excellent language skills - both oral and written;
Excellent customer service skills.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
