Main Purpose of Job

This position under close supervision is responsible for providing date entry and clerical support services in the Bureau of Disability Services Operations (BDSO). These services assist the Family Investment Administration (FIA) in its efforts to ensure payment accuracy and program integrity of its programs. The incumbent in this position provides related support services to various FIA units and Local Departments of Social Services (LDSS) in its efforts to help families and individuals gain access to healthcare and Federal benefits.

POSITION DUTIES

Opens, date stamp referral packages, letters, forms, medical records, and medical information received by postal and/or dedicated email account; scan or upload all necessary documentation using Enterprise Content Management System (ECMS); searches and assembles client's information/records using Client Automated Resources and Eligibility System (CARES), State On Line Query (SOLQ), State Data Exchange (SDX) and ECMS; enters customer information into database; prepares and send corresponds; answers and screens all telephone calls and faxes; types, formats and edits, correspondences, reports, charts, forms, graphs, schedules and other documents from rough draft, corrected copy, and oral instructions using a personal computer; proofreads, reviews and examines documents for accuracy and completeness; tracks and research cases for compliance; copies and faxes correspondences; sorts, date stamp, distribute mail and prepares material for outgoing mail; files correspondence and records; and provides secretarial support to BDSO as necessary.

MINIMUM QUALIFICATIONS

Education: Completion of the eighth grade.

Experience: One year experience performing clerical duties in an office environment. 

Notes:  

1. Additional experience performing clerical duties may be substituted on a year-for-year basis for the required education.

 2. Graduation from an accredited high school or possession of a high school equivalency certificate may be substituted for six months of the required experience.

3. Six months clerical training with three courses in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette may be substituted for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or in Administrative, Clerical, or Office Services specialty codes in the Clerical Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

The idea candidate will possess the following:

  • Proficient in MS Office Suite
  • Experience with mainframe computer systems
  • Proofreading skills
  • Ability to update and maintain files, logs and other records
  • Ability to enter, retrieve and update information using computer software applications
  • Ability to screen and respond to telephone inquiries
  • Ability to follow instructions
  • Ability to type correspondences, reports, charts, forms, graphs, etc.
  • Skilled in operating office equipment and performing basic office procedures
