Introduction

The Office of Administrative Hearings is seeking detail oriented applicants, preferably with experience in a legal environment, good organizational and problem solving skills and excellent customer service experience to fill a full time Office Secretary III position.

Main Purpose of Job

The main purpose of this position is to provide administrative support to a team of eight or more Administrative Law Judges (ALJs) to facilitate the conduct of administrative hearings and the timely issuance of decisions. In order to effectively and correctly complete the assignments of the ALJ, the incumbent must have a thorough knowledge of the applicable rules and policies of the Office of Administrative Hearings.

POSITION DUTIES

  • Proofread, revise and mail decisions orders and prehearing conference reports written by ALJS
  • Prepare exhibit list and ensure decisions are in a formant consistent with OAH policy and procedures
  • Document all actions in Caseload Management System   Close out profiles and review fields for correct format 
  • Prepare default orders for ALJs according to OAH policies and procedures and submit to peer reviewers for review
  • This includes determining whether a proposed or final order is to be issued based on the case type and reviewing the case file for pertinent information to be included in the order
  • Maintain a tickler file for timely closing of case files

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

 2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

DESIRED OR PREFERRED QUALIFICATIONS

Experience working in a legal environment Good organizational, multi-tasking and problem solving skills. Highly proficient in Microsoft Word and  Excel.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or work processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

SELECTION PROCESS

Applicants who meet the minimum qualifications will be admitted to the examination for this classification.  Successful candidates will be ranked as BEST QUALIFIED, BETTER QUALIFIED, OR QUALIFIED and placed on the employment (eligible) list for at least one year.

EXAMINATION PROCESS

The examination will consist of a rating of your education, training and experience related to the requirements of the position.  You may be required to complete a qualification supplement, or the rating may be based on your application.  Therefore, it is important that you provide complete and accurate information on your application.  Report all experience and education that is related to this position.
