Introduction
The Office of Administrative Hearings (OAH) is a State Agency that provides a medium where contested agency actions may be resolved, through an impartial administrative hearing process. The agency is currently recruiting for an Administrative Officer (Deputy Chief Clerk), which is a permanent, full time position, located in the Clerk’s office.

Main Purpose of Job
The main purpose of this position is to supervise nine employees and assist the Chief Clerk in planning, directing and overseeing the operations of the Clerk's Office in regard to the timely processing of appeals for a wide variety of State agencies.
POSITION DUTIES
Ability to supervise effectively. The position will supervise nine employees in the MVA, MIA/IGO unites and mailroom. Supervision includes, but is not limited to organizing, directing and supervising the work of assigned subordinate personnel within the Clerk’s Office this includes approving leave requests and signing time sheets; taking disciplinary action against employees with regard to performance and work habits; sick leave counseling; attending grievance proceedings as necessary; reviewing work assignments for accuracy and completion; and monitoring employee progress and productivity.
Ability to compile, and evaluate MVA caseload data using Seagate Crystal Reports and operate Evans printers, decollator, bursting and mail machines and train other employees a appropriate.
Ability to maintain/update administrative tables in the Evans Caseload Case Management system, including attorneys, representatives, case types and hearing locations.
Provides both general and technical direction and guidance to docket specialists with regard to case processing and establishes priorities for the docket specialists to ensure that cases are processed in a timely fashion.
Ability to train new employees and implement new policies, procedures and delegate special assignments to subordinates.
Monitors the daily operation of the mail room which includes adding postage to the meter as necessary, communicating problems with post office personnel regarding requests or problems and securing back-up coverage as necessary.
Represents the Office of Administrative Hearings in contacts with other State agencies, attorneys, and the general public, i.e., scheduling special cases, providing case related information or procedures, requesting case files from agencies for review, responding to law enforcement agencies and setting up subpoena protocol.
Must possess excellent writing and communication skills.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
Education: Possession of a bachelor's degree from an accredited four-year college or university.
Experience: Three years’ experience in administrative or professional work.
Notes:
1. Candidates may substitute additional experience in administrative staff or professional work on a year-for-year basis for the required education.
2. Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 semester credit hours for each year of the required experience.
