JOB OVERVIEW

This position will be responsible for various administrative duties including but not limited to: Creating and Editing Microsoft Word and Adobe PDF documents, creating and locating documents in oracle, interacting with the public regarding code enforcement cases, attending department meetings and taking minutes, creating and mailing code enforcement notices to violators, scanning documents, creating and editing complaints in the CRM system, other administrative support as necessary

MINIMUM QUALIFICATIONS

Graduation from high school or possession of a GED certificate; and

Two years of secretarial experience.

JOB SPECIFIC COMPETENCIES

  • Working knowledge of departmental policies and procedures.
  • Working knowledge of office practices, procedures, equipment and materials.
  • Working knowledge of English grammar, punctuation and spelling.
  • Working knowledge of frequently used office computer technology including; Windows, Internet and Office software applications.
  • Skill in operating a computer utilizing word processor, spreadsheet, database and electronic mail applications.
  • Ability to use general office equipment, and to perform a variety of clerical duties such as answering telephones, filing, copying, scanning, receiving and sorting mail, inventorying and ordering supplies.
  • Ability to type.
  • Ability to organize and maintain paper and electronic files and records.
  • Ability to take and transcribe notes, rapidly and accurately.

REPRESENTATIVE DUTIES

Depending on assigned area of responsibility, incumbents in the position may perform some or all of the activities described below. 

  • Types correspondence, articles, reports, manuals, and minutes of meetings, conferences and other official functions. May take and transcribe notes.
  • Opens and distributes mail, assembles material for use by supervisor.
  • Composes, types, and distributes meeting notes, routine correspondence, and reports for supervisor's signature.
  • Answers inquiries requiring interpretation of organization practices and procedures.
  • May research records using computer data processing software and other sources such as the Internet to obtain information.
  • Codes, classifies, posts and compiles data and assists in the preparation of statistical analyses and reports.
  • Maintains paper and electronic office records and files.
  • Operates various general office machines such as fax machines, copiers, scanners, and phone systems.
  • Performs basic clerical computer operations using word processing, spreadsheet, database management, and other applications.
  • Oversees the work of temporary or lower level clerical staff as required.
  • Accesses materials of a confidential nature, generally limited to typing and filing, as required.
  • May process and maintain personnel related documents and records, such as timekeeping, procurement and payroll records.
  • Serves as supervisor's representative to other staff, officials and the general public.
  • Performs other related duties as required.

  • Health Plan: The County pays towards health insurance premiums for all employees. Employees can select from three health care plan options. Coverage is effective the first of the month following 60 days of employment.
  • Dental Insurance: Employees are eligible to enroll in the dental coverage and choose from four options: High DMO, Low DMO, a network Open Access Plan, and a PPO. Coverage is effective the first of the month following 30 days of employment.
  • Vision Care: Employees and their dependents are eligible to enroll in the vision coverage. Co-payment coverage includes exams, lens and frame, as well as an allowable contact lens expense. Coverage is effective the first of the month following 30 days of employment.
  • Employee Assistance Program: This program provides all employees and family members with professional, confidential counseling sessions. All employees and dependents are afforded up to six (6) free visits per Plan year. Coverage begins on the first day of employment.
  • Tuition Reimbursement: Employees may be reimbursed up to $1,000 (undergraduate), $2000 (graduate) per fiscal year for classes at an accredited college or university for courses that enhance your ability to perform your current job duties.
  • Holidays: Employees receive up to 12 paid holidays per year.
