Introduction

This is responsible inventory, accounting and technical stores work.  Bargaining unit position.

Nature Of Work

An employee in this class is responsible for manual and clerical storekeeping assignments of more than average difficulty in a warehouse or related storage area. Employees in this class perform technical tasks related to organizing, maintaining, processing inventory items, interpreting contracts and reviewing financial transaction records within existing accounting system. Employees must exercise reasonable initiative and independent judgment in performing work assignments.  Tact and courtesy are required in contacts with vendors, the general public, department representatives, and other employees.  Work is reviewed while in progress and upon completion through observation, reports submitted, and results obtained.

Examples of Duties

Analyzes, develops, and recommends strategies to improve the bid process, inventory control process, or financial accounting for the assigned operation. 

Performs activities involving the receipt, verification, storage, issuance, and delivery of various supplies, parts, materials, instruments, tools, and equipment; maintains inventories and requisitions materials as needed; directs the return of defective or incorrect items and the disposal, repair or replacement of depreciated, worn, damaged, or obsolete stock.

 

Gathers, organizes, and distributes financial data; processes and/or reviews reports, transaction documents, and other inventory and financial data for accuracy, completeness, and conformance to accepted practices;

 

Reviews current contracts to verify pricing on received inventory items are correct; forwards any documentation for price changes, vendor changes or product changes.

 

Edits inventory reports making adjustments and/or corrections as necessary; requisitions items that fall below minimum quantity levels; contacts vendors for availability, price quotations, terms, delivery, and discounts on stock items; keeps inventory control files; performs clerical and office work in support of storekeeping functions; maintains records, logs, and ledgers related to area of work.

 

Assists in training personnel on technical aspects of receiving, storing and releasing inventory. 

 

Operates a lightweight motor vehicle as required to pick up and deliver materials; loads and unloads items from truck, including supplies, equipment, and materials utilizing forklift, platform truck, etc., as required.

 

Analyzes, develops, and recommends projects to improve or develops and recommends strategies to acquire items to meet specific needs including special ordering, bulk purchasing, special shipping techniques, and standardization of items.

 

Utilizes computer system to submit requisitions and retrieve such information as account balances and inventory levels.

 

Performs related work as required.

Knowledge, Skills & Abilities

Considerable knowledge of: standard methods, practices and procedures employed in the acquisition of inventory items; inventory maintenance and control data processing capabilities and applications to accounting.

Working knowledge of:  purchasing and requisitioning practices and procedures; records keeping as employed in an inventory operation; freight rates, shipping techniques, and special ordering procedures; municipal purchasing laws, regulations, and procedures. Some familiarization with Oracle EBS or similar system used for inventory management and MS Excel.

Ability to: analyze data and draw sound conclusions; formulate and present recommendations; prepare and present oral and written reports; establish and maintain records within an inventory system; perform mathematical computations with speed and accuracy; conduct inventories; perform work requiring physical exertion; understand and follow oral and written instructions; operate motor vehicles and other machines skillfully and safely; establish and maintain effective working relationships with others; operate a computer, calculator, or adding machine to check/

verify arithmetic calculations.

Minimum Qualifications

Graduation from an accredited high school or vocational school and two (2) years in  storekeeping, warehousing, or purchasing experience; or an equivalent combination of training and experience.

Licenses or Certifications

Possession of a valid Florida driver's license required.

Comments

Employees may be required to work rotating shifts, including nights, weekends, holidays and overtime as needed. During periods when the Mayor issues an emergency declaration for the City of Tampa, all employees may be required to work in preparation, response or recovery activities related to the stated emergency.
