CLASS CHARACTERISTICS

This is the entry level class in the Deputy Clerk of the Board series. An employee of this class calendars Board agenda materials from other departments and the general public, maintains official Board records and files, maintains strict confidentiality, and frequently serves as receptionist in an office with extensive public contact.

TYPICAL DUTIES

  • Receives proposed Board agenda items, including securities; screens for accuracy and completeness; notifies submitters of problems or requirements; sorts agenda items by appropriate calendar; prepares and distributes agenda packets to appropriate staff.  
  • Types correspondence, motions, reports, resolutions, forms and other materials, using various tools including word processing software; proofreads typewritten material.  
  • Screens visitors and calls; provides general information regarding Clerk of the Board policies and procedures; refers callers to appropriate departments.  
  • Indexes by computer and processes Board minutes, resolutions, and other documents; determines appropriate subject files; ensures that minutes are microfilmed before becoming the Board of supervisor's permanent record.  
  • Researches files to retrieve appropriate Board documents and historical material.  
  • Prepares and places required legal publications before and after Board action.  
  • May assist in clerking and other staff assignments on a relief basis.

MINIMUM QUALIFICATIONS

Experience: Two years of general office clerical and typing experience in a setting requiring extensive public contact.

 

Certificate: Possession of a valid typing certificate for 45 words per minute.

KNOWLEDGE

General office practices and procedures; general filing and record keeping systems; standard correspondence and report format; general legal terminology; basic public relations techniques.

ABILITY

Follow oral and written directions; read and understand job related material; establish and maintain effective working relationships with others; work well under pressure.

PHYSICAL/MENTAL REQUIREMENTS

Mobility-Frequent operation of keyboards; sitting for extended periods; frequently stand and walk; Lifting-Frequently 5 pounds or less; Vision-Normal overall vision; frequent reading and close-up work; normal hand-eye coordination; Dexterity-Normal dexterity with frequent writing and repetitive motion; Hearing/Talking-Frequent hearing and talking on the telephone and in person; occasional talking over public address; Emotional/Psychological-Frequent public contact and decision making; frequent concentration required; Special Conditions-May require occasional overtime, weekend or evening work.
