THE JOB: Under direction, to serve as a secretary to the head of a department or agency by relieving the administrator of a variety of administrative and clerical details; and to do related work as required. The current vacancy is in the Parks Department.
THE REQUIREMENTS: Any combination of training and experience, which would provide the required knowledge and abilities, is qualifying. A typical way to obtain such knowledge and abilities would be:
Three years of responsible clerical experience at the Journey level or higher, which demonstrates application or possession of the required knowledge and abilities.
Knowledge: Thorough knowledge of business English, vocabulary, spelling, grammar and punctuation; office procedures, including preparing correspondence and reports, and filing systems; formats for business correspondence and reports. Some knowledge of the application of data processing to business office operations; principles of supervision and training may be required; administrative processes unique to the County department or agency which assigned; overall structure and functions of County governmental operations.
Ability to: Maintain confidential files and privileged information; perform varied and difficult clerical work involving independent judgment and requiring accuracy and speed; use good judgment in recognizing scope of authority and in reflecting intent of supervisor; establish and maintain cooperative relationships with the public and others contacted in course of work; accurately type and/or utilize word processing to produce finished copy which may include technical terminology from rough copy or machine dictation; assemble and organize data and prepare reports from such information; compose and edit correspondence independently; communicate clearly and logically orally and in writing; maintain complex records; operate word processing equipment or micro computer to input, access and print correspondence and reports; operate standard office equipment; understand and follow oral and written directions; make arithmetic computations; take and transcribe dictation at 85 words per minute for certain positions.
THE EXAMINATION: Your application and supplemental application will be reviewed to determine if you have met the education, experience, training and/or licensing requirements as stated on the job announcement. If you meet these criteria and are one of the best qualified, you may be required to compete in any combination of written, oral and/or performance examinations or a competitive evaluation of training and experience as described on your application and supplemental application. You must pass all components of the examination to be placed on the eligible list. The examination may be eliminated if there are ten or fewer qualified applicants. If the eligible list is established without the administration of the announced examination, the life of the eligible list will be six months and your overall score will be based upon an evaluation of your application and supplemental application. If during those six months it is necessary to administer another examination for this job class, you will be invited to take the examination to remain on the eligible list.
