Nature of Work

The fundamental reason this classification exists is to supervise individuals engaged in records and file maintenance for the Probate Judge’s Office. The incumbent is responsible for ensuring that probate documents are recorded promptly and that records are available and easily accessible. The incumbent will supervise the work flow of the records area to ensure all documents are recorded, indexed accurately, microfilmed, and returned to customers in a timely manner. The major responsibilities of the classification include supervising two or more employees, providing information to the public, abstract companies, mortgage companies, and other interested parties, verifying the accuracy of fees and taxes collected as well as other identification information on probate records, and performing various administrative duties. The Records Supervisor oversees the office computer system to ensure accessibility and to establish procedures for assisting the public with obtaining information and documents. The position is supervised by the Chief Clerk.

Minimum Qualifications

High school diploma or equivalent and four (4) years of experience recording and providing access to official documents, with preference to those pertaining to real property, personal property and corporations.

Note:  Qualifying education, training and experience that provide the requisite knowledge, skills and abilities to perform the job will be considered.

  

Special Requirements

Willing to travel on occasion out of the county to attend workshops, training seminars, and to view capabilities of various types of equipment demonstrated by vendors.
