Main Purpose of Job

This position provides administrative support to the office of the Director of Support Services, including additional support as needed for the Executive Director and Deputy Director. The position provides critical daily support functions related to operations and management of the Public Safety Training Center.

POSITION DUTIES

This position provides a full range of administrative duties to the Director of Support Services and back up support to the Executive Director and Deputy Director.  The duties include responding to incoming phone calls, preparing general correspondences and communications, scheduling and attending meetings to record and distribute notes, preparing purchase requisitions and contacting vendors for service quotes and/or service calls, coordinating the maintenance on-call schedule, providing back up support to the front desk receptionist and performing other duties as assigned.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
 
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Applicants must meet this selective qualification to be considered. Include clear and specific information on your application regarding your qualifications.

One year of experience composing, editing, and proofreading correspondences, reports and/or presentations for internal and external executive level professionals.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

EXAMINATION PROCESS

All persons who meet the minimum and selective qualification will be approved on the certification list and will be placed on the employment (eligible) list for at least one year.
