Main Purpose of Job

Provide administrative, technical and office support to the Director of Field Services of the Division of Rehabilitation Services. This position reports directly to the Director of Field Services and requires independent action and thorough knowledge of the organization and its programs. This position also provides secretarial support to Central Office Program Directors on an as need basis.

POSITION DUTIES

Establish and maintain office protocols for the Director of the Office of Field Services and immediate staff reporting to the Director. Inspect and determine appropriate processing for incoming personnel documents and serve as liaison with Personnel Office. Log documents, transmit documents to appropriate programs and offices; manage incoming correspondence, telephone calls, electronic mail and prioritize for the Director. Initiate and track responses to inquiries and provide guidance/ support to professional field staff. Provide program information regarding vocational rehabilitation to citizens, community programs, and other external sources; prepare and transmit electronic communication and program directives to senior management staff and statewide field offices. Manage vendor applications for approval by the Director of Business Support Services; verify credentials of vendor applicants, and notify applicants upon approval. Maintain and access data related to consumer inquiries, appeals, statistical summaries related to goals and budget.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Knowledge of Division’s programs; knowledge of the principles and practices of office management; knowledge of standard business grammar; knowledge of Microsoft Word, Excel, and Power Point; knowledge of Google applications; skill in interpreting and summarizing information; skill in accurately preparing a variety of complex documents including correspondence, reports, handouts, databases, charts, graphs and spreadsheets; ability to communicate clearly and effectively in written documents and in verbal communications; ability to maintain strict confidentiality of sensitive matters; ability to provide excellent customer service, ability to exercise sound judgment in researching and answering inquiries; ability to establish and maintain effective work relationships.

Five (5) years of progressively responsible experience providing administrative support to a staff specialist; supervisor, or program manager.

Additional experience working as a liaison with Human Resources is desired.  

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
