Main Purpose of Job

To provide administrative support to Program Mgr., Administrators, Supervisors and any other staff member requiring assistance in an Unemployment Claim Center. Acts as an intermediary for the Program Manager, making frequent contacts with public and private professional staff, including vendors, contractors, other DLLR divisions and other government agencies.

POSITION DUTIES

Administrative and Clerical Support. Inventory Control and Purchasing, maintain important and confidential records, opens sorts, reads and distributes correspondence. Enter, update, verify and retrieve data using computer database or software applications.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Must have at least one year of experience with Word and Excel spreadsheets.

DESIRED OR PREFERRED QUALIFICATIONS

Proficient in the software Word, familiar with Excel; possess excellent communication and organizataional skills; general secretarial/clerical office functions.

SPECIAL REQUIREMENTS

All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (DLLR/DUI) to determine whether any monies are owed to DLLR/DUI as a result of an unemployment insurance overpayment and/or fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.

Information submitted after this date will not be considered. Applications that meet minimum and/or selective qualifications will be referred to the hiring unit for interview selection. Units will select those candidates most closely demonstrating the qualifications for interview.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.

Military Veterans may qualify for additional bonus points towards certification. A copy of your proof of eligibility (DD 214) for Veterans’ Credit must be in this office and completely verified before Veterans’ Credit will be approved.  Permanent State employees do not need to submit proof of eligibility for Veterans’ Credit.
