Main Purpose of Job

This position is for an administrative assistant for the Director of the Criminal Justice Information System (CJIS).  This position must be knowledgeable of the complete criminal history process and laws that govern the many specialized state services provided by this department. The position will conduct special projects for the CJIS Director, acts as an intermediary between the Director and CJIS staff, CJIS System users and any other person or group in contact with the Director.

POSITION DUTIES

Some of the duties for this position include:

 

Acts as the principal contact to the Criminal Justice Information Systems Director and maintains the efficient day to day operations of all administrative functions.

 

Maintains the electronic appointment calendar for the Director.  Makes and confirms reservations, arranges for transportation and handles related scheduling duties and maintains a tickler file for action by the Director.

 

Creates presentations, reports, logs and spreadsheets using Word, Excel, PowerPoint, Access and other PC Software.

 

Prepares complex reports and correspondence from drafts for the Director’s signature.  This requires the development of forms, tables, charts, graphs, transparencies and other similar information, which must be combined in an effective way with text.

 

Prepares requisitions for ordering computer supplies, furniture and general office supplies for the unit.  Compares various procurement documents (contracts, invoices, and packing slips) as a means of insuring that the proper supplies were shipped, received and invoiced.

 

And all other duties as assigned.

 

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Applicants must meet this selective qualification to be considered. Include clear and specific information on your application regarding your qualifications.

 

One year of experience with National Crime Information Center or the Maryland Criminal History databases.

 

Note: If candidate meets the Minimum Qualification for military service experience substitutions, one year experience must have involved supervising specialized Military Police who monitor the National Crime Information Center or the Maryland Criminal History databases.

 

 

LICENSES, REGISTRATIONS AND CERTIFICATIONS

NOT APPLICABLE.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
