Main Purpose of Job

Provide secretarial support services for Vocational Rehabilitation Supervisors and Specialists in the adjudication of Social Security disability claims.

POSITION DUTIES

Select, type, process appropriate letters to request, and obtain medical records required for the adjudication of claims from treating sources and educational facilities. Verify information to assess names and addresses for vendor in data base file for case processing system.  Prepare requests for Consultative Examinations. Photocopy MER for mailing with the appointment authorization letter to CE providers on paper claims.  Review CE notices for accuracy and identify short lead appointments.  Prepare CE letters for mailing.  

Type electronic Report of Contact on case processing system to document case file for every contact made.  Ensure correct content, spelling and grammar.      

Respond to calls from claimants, attorneys, 3rd parties and authorized representatives, review file and give requested information and/or status of claim with minimal supervision or examiner direction or review.

Review and prioritize paper mail for Vocational Rehabilitation Specialist.  Authorize electronic payment of all MER invoices. Verify receipt of Medical Evidence of Record on case processing system and process payment.    Identify and research paper trailer mail.  Review to determine potential impact of claim determination and alert Vocational Rehabilitation Specialist or forward to proper destination.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.  

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.  

SELECTIVE QUALIFICATIONS

One year of the required experience must have been working with medical records.

DESIRED OR PREFERRED QUALIFICATIONS

Knowledge of the principles and practices of good office management; skill in a variety of software packages; good mathematical ability; strong skills in organizing and completing multiple tasks with close attention to detail; ability to independently respond to telephone and in-person inquiries for routine information; ability to exercise good judgment, courtesy and tact in receiving callers, in giving and obtaining information, and in making proper disposition of problems; and ability to establish and maintain effective working relationships.

SPECIAL REQUIREMENTS

Individuals selected for the positions with the Maryland State Department of Education, Disability Determination Services will go through a complete federal background investigation.  A suitable determination by the Social Security Administration is necessary to determine whether an employee can be issued credentials in order to have access to Social Security disability data, records and systems.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
