Main Purpose of Job
This is a contractual position responsible for providing administrative and office support to the Branch Director and the lead specialists for Maryland's Project AWARE (MD-AWARE) to enhance and facilitate the operation, maintenance, and supervision of federal and State grant funded programs managed by the Student Services and Strategic Planning Branch.
POSITION DUTIES
Provides leadership for the responsibilities for assisting the Branch Director with the management of the MD-AWARE Program (funded by the Substance Abuse and Mental Health Services Administration); responsible for scheduling, arranging of out of state travel, maintaining master files, and coordinating secretarial and clerical support for the branch; independently coordinates processes and maintains MD-AWARE financial management system including: requisitions, MSDE credit care orders, bids for conferences and program services as well as grant awards and contracts; resolves problems and responds to requests for information by directing branch phone calls, composing correspondence and handling the process for department mail; plans, coordinates, organizes and provides administrative support for MD-AWARE staff and leadership including maintaining appointments and schedules for the coordinator, and organizing workflow; responsible for document production for charts and graphs and text related to key reports and projects; supervises the work of and trains branch secretarial support staff; provides support to other members of the Branch as requested by the Branch director.
MINIMUM QUALIFICATIONS
EDUCATION: Completion of 60 credit hours at an accredited college or university.
EXPERIENCE: Two (2) years of experience in administrative or professional work. Experience with extensive typing duties and office management is preferred.
NOTES: 1. Candidates may substitute experience as defined above at the rate of one year experience for 30 credit hours of education for up to 60 credit hours of the required education. 2. Candidates may substitute a bachelor’s degree from an accredited college or university for the required education and experience. 3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year to year basis for the required education and experience.
DESIRED OR PREFERRED QUALIFICATIONS
Knowledge of Microsoft Word, Access, Excel, Power Point, and Outlook; knowledge of preparing, processing and maintaining purchase orders for bids; knowledge of detailed administrative work (reviewing information and documentation, drafting reports, data management system data entry such as entering, retrieving and tracking data from paper documents or reports); skill in organizing and managing multiple tasks and timelines to ensure timely production and delivery of materials; skill in preparing a variety of complex documents and work with data systems; ability to work independently and with minimal supervision; ability to communicate effectively and establish and maintain effective working relationships in a team environment; ability to communicate clearly and effectively, using correct grammar, spelling, and language conventions, in all written documents and correspondence and in all verbal communications.
