This is a Political Special Appointment position serving as the Assistant to the Assistant State Superintendent for the Division of Rehabilitation Services.

Main Purpose of Job

This position serves as personal assistant and intermediary to the Assistant State Superintendent, Division of Rehabilitation Services. It provides administrative support and coordinates daily activities of the Assistant State Superintendent. The position also provides administrative support to the Division's Quality and Policy Specialist; serves as primary administrative liaison to the Maryland State Rehabilitation Council; and coordinates consumer appeal requests, employee grievances, and information from the Maryland General Assembly.

POSITION DUTIES

Serves as personal assistant and intermediary to the Assistant State Superintendent, Division of Rehabilitation Services; maintains office protocols for the Office of the Assistant State Superintendent and the Division’s Administrative Office; maintains frequent contact with the public, private executives, professional staff, and other officials; manages incoming mail, telephone, and email requests; determines appropriate course of action for responses to inquiries and requests for information; composes routine and complex correspondence; reviews records and correspondence including tables, charts, graphs, and forms for completeness and accuracy; maintains important and confidential records, schedules, and expense accounts; interprets administrative decisions and policies to other staff; coordinates administrative operations; organizes logistics for meetings, conferences, and seminars; ensures timely submission of required material to clients of the Division; maintains up-to-date electronic databases including statistical and numerical reports and records; relieves the Assistant State Superintendent of other operational details; serves as administrative liaison to the Maryland State Rehabilitation Council; provides management support to the Quality and Policy Specialist; coordinates consumer appeal requests, employee grievances, and information from the Maryland General Assembly.

MINIMUM QUALIFICATIONS

EDUCATION: Graduation from an accredited high school or possession of a high school equivalency certificate.

EXPERIENCE: Five (5) years of progressively responsible experience providing administrative support to a senior or executive level manager.

SELECTIVE QUALIFICATIONS

Knowledge of Division’s programs; knowledge of the principles and practices of office management; knowledge of standard business English; knowledge of Microsoft Word, Excel, and Power Point; knowledge of Google applications; skill in interpreting and summarizing information; skill in accurately preparing a variety of complex documents including correspondence, reports, handouts, databases, charts, graphs, and spreadsheets; ability to communicate clearly and effectively in written documents and in verbal communications; ability to maintain strict confidentiality of sensitive matters; ability to provide excellent customer service, ability to exercise sound judgement in researching and answering inquiries; ability to establish and maintain effective work relationships.

SPECIAL REQUIREMENTS

The Maryland State Rehabilitation Council has evening quarterly meetings that you must be able to attend.
