Main Purpose of Job

This position reconciles local Department of Social Services (DSS) accounting systems to the Department of Human Resources administration control system data; and verifies, analyzes, records and reconciles reports of local DSS fiscal activity for required administrations utilizing automated spreadsheets and ledgers.

POSITION DUTIES

Distributes Assets (Legal Tender) in safe.

Verifies new shipments/receipts and maintain records of receipts and disbursements.

Reviews and codes all Accounts Receivables received in the Agency.

Prepares Cash Receipt subsidiary documents for each of the five different bank accounts.

Calculates employee travel expense sheets for payment through FMIS.

Maintains employee travel coding sheet with additions and deletions as needed.

Examines, calculates, and posts expenditures and receipts to Automated Assistance ledger from three different sources.

Reconciles ledger with monthly AFS Cashbook Summary. Investigates any discrepancies.

Posts deposit subsidiaries to Cash Book. This is used to complete the Assistance Ledger at the end of each month for a complete overview of the assistance account, ensuring it is balanced.

Posts monthly receipts of Foster Care SSI/SSA and Child Support money to Excel tracking sheet.

Processes CHESSIE Funding Approvals when received from Services staff.

Tracks flex fund payments (Excel spreadsheet) by specific code ensuring no over expenditures.

Compiles, updates and reconciles financial data.

Counts checks for each account and completes monthly report and give to Auditor.

Completes physical inventory count and Inventory Report for EBT cards monthly. Completes monthly form with the number of cards and give to Auditor. 

Files FMIS and CARES reports daily for reference and reporting.

MINIMUM QUALIFICATIONS

Please describe in detail any job duties relating to the minimum qualifications stated and include any computer software experience (ex. Word, Excel, Access, FMIS, CARES, CHESSIE, etc.) used in each of the positions you held.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years of experience reviewing, verifying, recording, adjusting and balancing financial transactions.

Notes:

1. Experience calculating and recording financial, statistical or other numerical data may be substituted on a year-for-year basis for the required high school education.

2. Six credit hours in accounting from an accredited college or university may be substituted for one year of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience in Financial Clerical/Finance Technicians classifications or specialty codes in the financial field of work at a rate of one year of military experience for the required experience.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
