Introduction

This is a Position Specific Recruitment for the Office of Human Resource Development and Training (HRDT).  You must possess one year of experience using Microsoft Word, Excel and PowerPoint and meet  the minimum education and experience requirements to be approved for this recruitment.

Main Purpose of Job

This position provides administrative and secretarial support to the Director and Deputy Director of the Office of Human Resource Development and Training with the Department of Human Resources (DHR). In addition to typing, filing, and scheduling the position performs duties such as coordination of meetings, obtaining supplies, managing special projects, answering non-routine correspondence and assembles highly confidential and sensitive information. The position also deals with a diverse group of internal and external customers at all levels within the organization with a consistent and high level of customer service and thoroughness; and uses/requires office skills to handle customer communications (internal/external), file organization and management, software including word processing, spreadsheet, database and presentation, report and letter preparation, and decision making within scope of responsibility. Independent judgment is required to plan, prioritize, and organize diversified workload. The incumbent in this position reviews correspondence, reports and assignments noting format, grammar, completeness, consistency with established guidelines, and content to ensure document is responsive to issues raised; composes correspondence, reports, tables, and other documents as necessary; tracks and collates responses from Local Departments and Central Administrations in order to independently complete assigned projects; receives, screens and independently handles incoming calls on a variety of subjects; manages special projects independently as assigned includes, but not limited to, coordination of the following: recruitment efforts for DHR Executive level positions; YouthWorks Summer Internship Program; revisions/updates to the Employee Handbook; reviews and processing of Secondary Employment Requests; reviews and selections of vacancy announcements to be forwarded to the Maryland Department of Veterans Affairs., etc; coordinates and schedules meetings for the Director and Deputy Director; maintains current electronic calendar; researches, prepares and distributes materials relative to meetings; coordinates and prepares travel arrangements including paperwork for funding approval from Budget Office and written justification; reviews and distributes incoming mail; maintains assignment log and tickler file; monitors progress of assignments for completion and submission; and provides support services to HRDT Managers as needed.

MINIMUM QUALIFICATIONS

PLEASE NOTE: IN ADDITION TO THE MINIMUM QUALIFICATIONS, YOU MUST ALSO MEET THE SELECTIVE QUALIFICATION (ONE YEAR OF EXPERIENCE USING MICROSOFT WORD, EXCEL AND POWERPOINT) TO BE APPROVED FOR THIS RECRUITMENT.

Please describe in detail any job duties relating to the minimum qualifications stated and include any computer software experience (ex. Word, Excel, Access, etc.) used in each of the positions you held.

 

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

ONE YEAR OF EXPERIENCE USING MICROSOFT WORD, EXCEL AND POWERPOINT.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
