Main Purpose of Job

The main purpose of this position is to provide a full range of administrative assistance to the Chief, Intake Unit and to nine (9) Compliance Analysts and three (3) Lead Compliance Analysts to ensure effective functioning of the unit. The position is responsible for creating and maintain logs to accurately track all legal documents (Subpoena Duces Tecums, Subpoena Ad Testificandums, Certified Mail, Consent Orders, Charging Documents) issued by the unit staff. This position receives, reads, sorts, and distributes all mail received and sent by the unit which involves identifying for each piece of mail: the case number, Respondent and Compliance Analyst assigned, tracking each piece of mail in the MBP database and distributing to the appropriate Compliance Analyst. This position is responsible for the receipt of all medical records and other subpoenaed materials received by the Compliance Investigations Unit during the course of an investigation. Tracking of documents is used in reports and transmittals to the Office of the Attorney General for case prosecution.  This position receives, reviews, logs and numbers approximately 1,000 complaints received by the Board against licensees.  This position will also extract relevant data (Complainant, Respondent, addresses, complaint number) and enters data accurately into MBP Database. The position is also responsible for researching; compiling and assembling the investigative case file for the Compliance Analysts who investigate complaints filed against physicians. This involves obtaining materials from a variety of sources to be used for investigations and reports such as AMA Physician Profiles, Board of Physician Profiles, Original Licensure Applications, Renewal Licensure Applications and National Practitioner Reports. Material from a variety of sources is used for investigations and reports. This position is responsible for the handling, tracking and processing of Compliance Analyst/s peer review transmittals to the vendors; communicating all Compliance Analysts investigative copying jobs through the external vendor; handling the transcription of all Board interviews for Compliance Analysts; and scheduling meeting and interviews for Compliance Analysts. This position composes and signs outgoing correspondence; develops, revises and implements office procedures; handles and forwards telephone calls about compliance investigations to analysts and the Chief providing information to callers about laws, rules, regulations, operations and procedures of the Boards operations. This position acts as an intermediary for the supervisor maintaining frequent contacts with public and private executives, professional staff and other officials (Board Members, Medical Consultants, Board Experts, Attorneys, Physicians, etc.)

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

SELECTIVE QUALIFICATIONS

Candidate must have one year of experience compiling and assembling investigative case files and experience with documenting case notes.

DESIRED OR PREFERRED QUALIFICATIONS

Successful candidates will have experience interviewing clients to determine the nature of a complaints.   One year experience in project planning skills as demonstrated in areas such as: project management training, scheduling activities that have dependent relationships, or large event planning.  The successful candidate must also have strong interview and customer service skills, attention to details and excellent writing skills.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
