Introduction

The Maryland Department of Business and Economic Development is seeking qualified applicants for the position of Office Secretary within the BioMaryland Center’s (BMC) Rockville, Maryland office.

Main Purpose of Job

The primary function is to support the business assistance and outreach provided by BMC and to serve as a central customer service representative in the BMC's Rockville office.

POSITION DUTIES

The incumbent provides administrative support to the office staff; maintains online databases; and provides tutorials and access to market research databases to BioMaryland entrepreneurs.  The individual supports BMC outreach activities (including website, newsletter, and print publication updates), and also assists with scheduling and providing other support for outreach events and meetings with BioMaryland business leaders. The incumbent assists with the development of monthly fiscal reports, reconciles database information with the State’s accounting system, proofs complex reports, composes documentation to accompany contracts, and drafts routine correspondence.  The individual also answers and provides information to callers, receives guests, and responds to walk-in inquiries from the public for program information.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years  performing secretarial or clerical work involving typing duties.

Notes:

1. Additional . Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in  Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience. 

SELECTIVE QUALIFICATIONS

Candidates should be well-organized, self-motivated, and able to work independently and as part of a team.  Applicants must possess excellent interpersonal, written, and oral communication skills; excellent computer skills; a good work and attendance record; strong organizational skills, and an aptitude for detailed work.  An excellent telephone manner is a must.  Applicants must be proficient in the use of Microsoft Word, Excel and Access or relevant software.

DESIRED OR PREFERRED QUALIFICATIONS

Knowledge of the state financial management information system (FMIS) is desirable.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator's license valid in the State of Maryland.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
