Introduction

The Maryland Lottery Gaming Control Agency is seeking and Administrative Aide to provide day-to-day support to the Licensing Division Manager, leads and personnel throughout the Licensing Division assigned. The candidate will be required to perform assigned task via the computer and must be familiar with Microsoft Office and a variety of software programs. The candidate will receive and distribute correspondence and licensing instruments via US Mail and commercial expedited shipping systems throughout the department. The incumbent will be required to handle and maintain the highest level of confidentiality as they work with and among secured documents. The candidate will be required to handle, sort, file and dispose of confidential and sensitive information and documents as mandated by the agency and all state regulations.

Main Purpose of Job

The primary purpose of this position is to perform complex and routine administrative duties in an accurate and expeditious manner as assigned by the Director of Enforcement and the following Divisions: Licensing, Compliance and Security. The duties listed are specialized and require a comprehensive knowledge of each Department and the Agency in order to complete task in an efficient manner.

POSITION DUTIES

  • Manage the Department’s work schedule via an Excel Database and Google calendar.
  • Responsible for drafting, editing, preparing and mailing of professional correspondence at the direction of the Department head.
  • Proofreads outgoing correspondence and reviews records for completeness and accuracy.
  • Assist with the organization, compilation of reports and presentations from data and research materials gathered by the investigative staff. 
  • Receive, log, distribute and file confidential documentation as required. 
  • Maintain sensitive licensing data contained in a variety of databases to include word processing and spreadsheet formats.
  • Provides back-up support to the Licensing Division as it pertains to the creation, tracking, categorization, storage and distribution of Gaming licenses.
  • Reads reports and summarizes information to facilitate the supervisor’s review.
  • Develop and maintain tracking databases as required.
  • Performs other related duties as assigned.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preferred Qualifications:

  • Knowledge of Microsoft Word, Excel and Power Point and Google Calendar.
  • Strong organizational skills with the ability to multi-task.
  • Possess the ability to review, write and edit professional correspondences.
  • Strong understanding of the level of confidentiality required within this department and the ability to adhere to all confidentiality policies and procedures directed by the        Department and the State of Maryland.    

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

EXAMINATION PROCESS

The assessment may consist of a rating of your education, training and experience related to the requirements of the position. You may be required to complete a qualification supplement, or the rating may be based on your application. Therefore, it is important that you provide complete and accurate information on your application. You must report all experience and education that is related to this position. Approved candidates will be rated as Best Qualified, Better Qualified and Qualified and remain on the eligible list for at least one year.
