Main Purpose of Job

The main purpose of this position is to provide administrative and secretarial support to the Program Manager and Division Chiefs for the Operational Services Program, in performing the administrative activities of the reconciliation of fees collected for the Certification and Registration Division. Work is characterized by a variety of complex assignments requiring a thorough knowledge of the organization and programs under the supervisor's jurisdiction.

POSITION DUTIES

The following duties are examples of assignments performed by this incumbent in this classification.  It is not a total comprehensive list of duties, nor is it restrictive regarding job assignments. 

  • Performs a variety of complex secretarial, clerical, and administrative duties and assignments with independent judgement. 
  • Accurately prepares Lead Rental Registry prior year payments and tracking correspondence for audit purposes.
  • Proofreads outgoing letters of a routine nature for correct business English, spelling, punctuation, grammar, etc, in conformance with MDE correspondence policies.
  • Operates multi-line telephone system in order to provide accurate information to callers.
  • Establishes, maintains and amends methods and procedures which produce results in accordance with the Operational Services Program's mission, goals, and vision.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Four years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

SELECTIVE QUALIFICATIONS

Applicants must meet the selective qualifications to be considered. Include clear and specific information on your application regarding the qualifications.

One year of experience typing, and finalizing manuscripts, correspondence, statements, tables and forms from a corrected copy, rough draft, or detailed instructions using Microsoft Word, or Access.

Two years of experience in a customer service setting using a multi-line telephone system and providing information to customers on a regular basis.

SELECTION PROCESS

You must possess the minimum and selective qualifications to be considered for this position. If you are scheduled to complete an educational or licensing requirement within six months of the assessment, you may participate in the examination process. Credit may be given for relevant part-time, temporary, or volunteer experience, if you list the number of hours worked per week.

For education obtained outside the U.S., you will be required to provide proof of the equivalent American education as determined by a foreign credential evaluation service. This evaluation must be submitted with your application. All information used to determine your qualifications must be submitted by the closing date. Therefore, be sure that you accurately and thoroughly complete the application.

EXAMINATION PROCESS

The examination will consist of a rating of your training and experience as they relate to the needs of the position. Candidates will be placed on the employment list categorized as BEST QUALIFIED, BETTER QUALIFIED AND QUALIFIED and remain eligible for consideration for at least one year from the date of the examination.

This list will be used by the hiring agency to select employees. You must possess the minimum and selective qualifications before you may be selected for this position. Verification will be completed by the Appointing Authority.

Permanent State employees may also complete necessary experience based on the number of hours worked per week. You must include on your application the time in such activity.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
