This is a position specific recruitment for the Department of Natural Resources, Wildlife and Heritage Service (WHS), Annapolis, Maryland location. This recruitment will be used to fill current and future vacancies for this position/function only.  The resulting eligible list will be maintained for one year.  Persons interested in future vacancies within this classification must re-apply.

Main Purpose of Job

The Department of Natural Resources (DNR), Wildlife and Heritage Service (WHS), is currently accepting applications for an Administrative Specialist I position, which serves as an administrative assistant to the Associate Director of Administration for DNR's Wildlife and Heritage Service. The Administrative Specialist will assist with the review and approval of procurement, travel, and human resources paperwork and perform other office duties. The specialist will review payment authorizations for invoices submitted by WHS staff for completeness and accuracy and make corrections as necessary. The specialist will review working fund requests submitted by WHS staff for completeness and accuracy. Make corrections to working fund requests as necessary. The specialist will assist WHS staff with the development of Memorandums of Understanding (MOU) for wildlife research, surveys, or habitat management efforts and review signed and submitted MOUs for completeness and accuracy. The Administrative Specialist will also serve as the WHS's lead on required out-of-state travel requests and paperwork. The specialist will assist WHS staff with completion of required out-of-state travel paperwork and out-service training forms. The Administrative Specialist will review personnel paperwork submitted by WHS staff for accuracy and completeness. The specialist will coordinate leave bank enrollment for the WHS, including collecting and submitting forms from unit staff and coordinate the Maryland Charity Campaign, including collecting and submitting forms from WHS staff. The Administrative Specialist will also serve as the back-up for answering telephone calls from the public regarding wildlife and hunting issues.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Completion of 60 credit hours at an accredited college or university.

Experience: None

Note:  Candidates may substitute one year of experience in administrative or professional work for the required education, at the rate of one year of experience for 30 credit hours, for up to 60 credit hours of the required education.

DESIRED OR PREFERRED QUALIFICATIONS

Professional Experience processing invoices or personnel transaction paperwork is preferred but not required.

Experience with Microsoft Excel or similar spreadsheet software is preferred but not required.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
