Introduction

This position is limited to permanent and contractual employees working with the Maryland Department of Public Safety and Correctional Services (DPSCS) only.

This is a position specific recruitment for the Department of Public Safety and Correctional Services. The resulting eligible list will be used to fill positions in DPSCS Correctional facilities throughout the State of Maryland. Applicants certified to this list will remain eligible for at least one year.

Main Purpose of Job

To provide secretarial and administrative support primarily to the Correctional Security Chief and the Warden/Assistant Warden as needed.  These duties include routine and specialized, complex secretarial services.

POSITION DUTIES

Screen and direct telephone calls and visitors contacting the Security Chief’s Office.  This may include redirecting calls or handling the call independently.      

Responsible for the Staffing Overtime Analysis Manager program (SOAM) program which includes retrieving various reports from other departments and incorporating information into the Staffing Overtime Analysis Manager program (SOAM) for the bi-weekly overtime report that is submitted to Headquarters.

Responsible for the typing and disruption of Post Orders.  This includes the initiating, tracking, typing, copying and distributing process for all custody post orders and post order procedures annually.

Responsible for the typing and distribution of updated information in the Emergency Plans.  These plans contain highly confidential information regarding security issues when dealing with any emergency situation.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.  

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.  

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

SELECTIVE QUALIFICATIONS

Applicants must have 3 years’ experience working within a Correctional facility.

DESIRED OR PREFERRED QUALIFICATIONS

Candidate that have knowledge and experience working with Offender Case Management System (OCMS),  Faculty Incident Reporting Manager (FIRM), Offender-Based State Corrections Information Systems (OBSCIS), Staffing Overtime Analysis Manager (SOAM), and METERS/NCIC.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or work processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

EXAMINATION PROCESS

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
