Main Purpose of Job

The Office Secretary is responsible for providing support to the Office of the Secretary and the Office of Student Financial Assistance (OSFA) at the Maryland Higher Education Commission (MHEC). The selected candidate will be responsible for the following activities:

POSITION DUTIES

  • Field inquiries in an independent manner from students, parents, and other external constituents for all agency and financial aid programs administered within MHEC, and particularly OSFA, in accordance with Commission policies and procedures. This position will work closely with Legislative Senate and Delegate Scholarships, Guaranteed Access and Education Assistance Grant, and many other Office of Student Financial Assistance programs.
  • Track incoming correspondence for subjects and trends to make recommendations regarding revisions to policies and targeted communications.
  • Review, process, and distribute a variety of documents via internal databases related to the various programs administered within MHEC, particularly OSFA.  These include but are not limited to program applications and payments, supporting documentation, and verification forms.
  • Review all incoming Governor’s IQ letters and prepare response with appropriate form letter or original correspondence in collaboration with other agency staff.
  • Provide administrative support for workgroups, taskforces, and other staff meetings. Assist in the compilation, preparation, and distribution of agenda materials, and meeting minutes.
  • Perform other related administrative duties as assigned.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

  • Excellent customer service, and oral and written communication skills including experience working in a fast paced customer service/call center environment.
  • Associates Degree in a related field from an accredited college or university.
  • Demonstrated familiarity/experience with student financial assistance.
  • Experience performing high level front office receptionist duties in an independent manner.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or work processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

For education obtained outside the U.S. you will be required to provide proof of the equivalent American education by a foreign credential evaluation service.
