An Office Secretary I is work providing secretarial support to an official, administrator or administrative staff. Employees in the Office Secretary I classification type on typewriters or keyboards of personal computer or computer terminals.

The current vacancy exists at the Roxbury Correctional Institution,Hagerstown, Md. (Washington County)

Main Purpose of Job

To provide clerical support to Correctional Case Management Specialists, Supervisors and Manager in carrying out Institutional Procedures and Policies and operation of the OBSCIS (Offender Based State Correctional Information System) affecting the Case Management Department.

POSITION DUTIES

Type a variety of correspondence for Case Managers for assigned Housing Unit using a personal computer. Assemble and complete reports, 0post information to DPSCS Case Plan and maintain established files.

Interpret Sentence Status reports and Detainers that are initiated by the Commitment office. This involves adding new sentences, amending sentences and completing paperwork for speedy trials.

Process newly arrived inmate base files in accordance with DCD 100-203. Appendix 1. Review base file and computer generated information.

Type authority moves in Case Plan and notifies traffic of these job changes.

Type reclassification docket result in Case Plan and process proper paperwork. Enter annual Security Review information into OBSCIS.

Handle all requests for released inmate base files, Pull folders from our dead files or request from the Hall of Records in Jessup, MD and forward to requesting institution.

Pick up, sort, open and distribute mail to the appropriate people in the department and also within the institution.

Respond to many inquiries from telephone callers and visitors, redirect calls if needed and provide information that requires a detailed knowledge of the Institutions Functions, regulations, and procedures.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a typewriter or keyboard on a personal computer, computer terminal or work processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BARGAINING UNIT STATUS

The incumbent in this position is a member of a covered bargaining unit and will be required to pay a bi-weekly service fee to the exclusive representative of the bargaining unit.
