MAJOR FUNCTION

Performs a variety of specialized clerical duties related to the processing and maintenance of legal and court records.

MAJOR DUTIES

Note: The following duties are illustrative and not exhaustive. Depending on assigned area of responsibility, incumbents in the position may perform some or all of the activities described below.

  • Prepares, processes and maintains legal records, court files, minutes, calendars, and dockets. Maintains docket records and diary of transactions.
  • Receives, verifies, and examines legal forms and court exhibits to ensure adherence to court procedures. Accepts or rejects bonds based on specified criteria. Issues receipts for materials and payments.
  • Processes and indexes a variety of reports and other materials according to established procedures.
  • Provides information concerning general court procedures to the general public and other departments and agencies.
  • Attends court proceedings and records minutes. Records case dispositions, court orders and arrangements for payment of court fees.
  • Types letters, memoranda, and reports as necessary.
  • Performs other related duties as required.

KNOWLEDGE, SKILLS, & ABILITIES

  • Some knowledge of general office policies, procedures and practices.
  • Some knowledge of legal terminology and procedures.
  • Some knowledge of English grammar and spelling, and arithmetic.
  • Ability to perform accurate computations and verifications of data.
  • Ability to operate word processing and other office equipment.
  • Ability to work effectively with others.
  • Ability to use a computer terminal to quickly and accurately enter data.

MINIMUM QUALIFICATIONS

Note: Minimum Qualifications MUST be attained before the recruitment ending date.


Graduation from high school or possession of a GED Certificate; and
Two years of clerical experience one of which included the processing, examining, preparing or reviewing of any type of legal document; and
A passing score on a written test.

Placed on Eligibility list ONLY if ALL Minimum Qualifications are met AND all required documentation has been submitted and processed.

During the recruitment period the Civil Service Board will ONLY send Eligible candidate names to the associated Hiring Agency/Department as they are evaluated.
  
STEP #7
Hiring Agency/Department will review Published/ Active Eligibility list.
  
STEP #8
Hiring Agency/Department personnel representative may invite candidates to interview from the associated Eligibility List for the position. Hillsborough County Departments
  
Notice:
Qualified Candidates will remain on the Eligibility List for:
(CLOSED Promotional) 60 Days OR
(OPEN Recruitment) 90 Days.

CONCLUSION

OPEN AND CLOSED RECRUITMENTS:  We are running concurrent Closed (Internal) and Open recruitments. Internal candidates on a closed eligibility list must be considered first, prior to a selection being made from the open eligibility list. To be considered for the same classification under Open recruitment, internal candidates must also apply under the open recruitment process.

 

VETERANS' PREFERENCE:  Preference will ONLY be entitled upon initial appointment for eligible veterans and eligible spouses of veterans. Documentation to support entitlement to preference MUST be provided at the time of application.

EXAMINATION: Examination may be administered at the time of application, depending on qualifications. Test information is available at the Reception Branch, Hillsborough County Civil Service Office. This information must be obtained in person and it is the applicant's responsibility to obtain it, if desired.
