Summary Statement

An incumbent in this class is responsible for supervising and maintaining records of all State issued checks.

Nature and Scope

Work is performed independently with supervision available from a technical superior.  Assignments are varied in nature and carried out in accordance with accepted bookkeeping/accounting standards.  A significant aspect of this position is to coordinate the receiving, sorting, processing and signing of all State issued checks within the Check Services area.  Incumbent is responsible for supervising a small group of clerical personnel, and serves in a liaison capacity between supervisor and subordinates.  In addition, the incumbent will maintain a variety of ledgers, records and journals of checks processed.

  • Coordinates processing of all State issued checks (to include payroll, vendor, public assistance, revenue and pension) to assure timely disbursements of checks.
     
  • Supervises, provides assistance and evaluates work of clerical staff in performing check processing duties.
     
  • Assures that all ledgers and journals of checks issued are maintained in an accurate and timely manner.
     
  • Monitors and evaluates efficiency and operation of all equipment and perform or schedule necessary repairs to achieve maximum productivity.
     
  • Prepares documentation of checks and various records for microfilming by archives.
     
  • Compiles information and statistics for use in budget preparation, miscellaneous reports and other agency needs.

  • Knowledge of principles and practices of organization, planning, research, general administration and supervision.

Job Requirements

JOB REQUIREMENTS for Supervisor Check Services
Applicants must have education, training and/or experience demonstrating competence in each of the following areas:

  1. Six months experience in accounting using Generally Accepted Accounting Principles (GAAP). 
  2. Six months experience in data collection which includes collecting, compiling and maintaining data from multiple sources such as files, records, databases, customers, staff or others.
  3. Six months experience in document processing and control which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures and ensures quality assurance of results.
  4. Six months experience in creating reports which includes combining and presenting data from multiple sources in an organized format.
  5. Six months experience in record keeping.
  6. Knowledge of staff supervision acquired through course work, academic training, training provided through an employer, or performing as a lead worker overseeing the work of others; OR supervising staff which may include planning, assigning, reviewing, and evaluating the work of others; OR supervising through subordinate supervisors a group of professional, technical, and clerical employees.
