Introduction

ZONE 7 WATER AGENCY:

Zone 7 Water Agency is located in the Tri-Valley region of the eastern San Francisco Bay Area. It provides water on a wholesale basis to the cities of Pleasanton, Livermore, Dublin and the Dougherty Valley area of San Ramon, and flood-protection services to all of eastern Alameda County. Zone 7 employs approximately 116 full-time employees and has an operating budget for the 2013-14 fiscal year of $151.6 million. The Agency's administrative offices are located in Livermore, CA, the easternmost city of Alameda County, which is bordered by Contra Costa County to the north and San Joaquin County to the east. Livermore, California's oldest wine region, is known for the science and technology of its national laboratories, a historic downtown area and the surrounding farm lands and ranches that mirror the Valley's western heritage.

DESCRIPTION

THE POSITION:

Under general supervision, to perform a wide variety of general office support, which may include specialized and technical document preparation, data entry, typing, receptionist duties, and to perform other duties as required.

DISTINGUISHING FEATURES:

This is a general clerical class. Incumbents in this class perform general office support functions for various divisions, which involve all phases of general clerical work. This class is distinguished from the Administrative Assistant, Zone 7, class in that the latter class is generally assigned to higher-level managers and performs more difficult administrative duties requiring the exercise of greater initiative, judgment and responsibility.

THE IDEAL CANDIDATE:

The Ideal Candidate for the position of Office Assistant, Zone 7 will have demonstrated experience in the following areas:

  • Ensuring that the customer perspective is a driving force behind business decisions and activities;
  • Accomplishing tasks by considering all areas involved, no matter how small; and showing concern for all aspects of the job;
  • Comparing data from different sources to draw conclusions;
  • Maintains effectiveness when experiencing major changes in work responsibilities or environment;
  • Develops and uses collaborative relationships to facilitate the accomplishments of work goals;
  • Establishing courses of action for self and others to ensure that work is completed efficiently.
  • Actively participates as a valued member of a work team;
  • Assimilates and applies newly learned information on the job;
  • Provides exceptional service to internal and external customers;
  • Maintains quality performance while under pressure or opposition;
  • Ensures the quality and accuracy of work products;
  • Utilizes effective approaches for choosing a course of action.

MINIMUM QUALIFICATIONS

Either I

- Experience:

The equivalent of one year of experience in the class of Specialist Clerk I or in an equivalent or higher level class in the Alameda County classified service. (Non-classified includes District Attorney’s Office, Hospital Authority, and the Consolidated Courts.)

Or II

- Experience:

The equivalent of two years of full-time, responsible clerical experience.

And

- License:

Possession of a California Driver’s License.

- Special Requirements:

Must be proficient at word processing and spreadsheet applications; must be able to type at a corrected speed of 50 WPM.

A typing certificate with a typing speed of 50 net words per minute from a temporary agency, employment agency, or community college, printed on letterhead with the address and phone number of the agency or college must be uploaded to your on-line application under the resume tab at the time you submit your application.  The typing certificate must be dated within six (6) months of receipt of your application.

KNOWLEDGE AND SKILLS

The most suitably qualified candidates will possess the following competencies:

- Knowledge of:

• Modern office practices and procedures, including filing and record management systems.
• Receptionist and telephone techniques.
• Standard office equipment, including the operation of personal computers.
• Proper English usage, spelling, grammar and punctuation.
• Mathematics.


- Ability to:

• Perform a variety of clerical and office support work with minimal guidance and supervision.
• Use a personal computer, including related office support software, at a skill level and with a degree of accuracy to meet job requirements.
• Deal tactfully and courteously with the public and other Agency staff when providing information.
• Operate a variety of standard office equipment.
• Apply policies, rules and regulations to different situations.
• Understand and carry out oral and written instructions.
• Read and write at the level required for successful job performance.
• Establish and maintain cooperative working relationships.

EXAMINATION COMPONENTS

The examination will consist of the following steps:

 

1.      A review of the candidates’ applications to verify possession of minimum requirements. Those candidates who possess the minimum requirements for the class will move on to the next step in the examination process.

 

2.      A review of the Supplemental Questionnaire to determine the best qualified; only the most suitably best qualified candidates will be invited to the oral interview process.

 

3.      An oral interview which will be weighted as 100% of the candidates' final examination score. The oral interview may contain situational exercises.
