              SUPERVISOR’S ASSISTANT

Description of Position:

Under the direction of the Chief of Staff, candidate will provide professional-level administrative and operational support to Alameda County Supervisor Scott Haggerty.  His/her primary responsibility is the regular organization and maintenance of the Supervisor’s busy and ever-changing schedule.  Additional duties include, but are not limited to: general office administration, heavy phone contact, constituent services and written communications to include emails, letters, memorandums and other miscellaneous writing assignments. Working within a team environment, candidate must also be self-driven, motivated and possess the ability to work and complete tasks both independently and in a timely manner.  Candidate must be willing and able to work from the Supervisor’s main office in Oakland, located near the Lake Merritt BART station, as well as the Supervisor’s satellite office, located in Pleasanton on the Alameda County Fairgrounds.  

Examples of Duties: 

  • Organize and maintain the Supervisor’s calendar (i.e. confirm meeting requests, schedule meetings, coordinate travel, etc.)
  • Coordinate, organize and attend/facilitate meetings of varying sizes
  • Effectively communicate with staff and the public via telephone, in person and in writing
  • Provide quality assistance on general matters, including investigating and responding to constituent concerns and complaints, as well as those from advocacy groups, organizations, other government agencies and members of the public 
  • Prepare clear, accurate and effective correspondence, articles, speeches, scripts, press releases and other material for public information purposes, and do so in a timely manner Other duties as assigned

MINIMUM QUALIFICATIONS

  • Verifiable administrative experience
  • 4-year degree in public or business administration, or equivalent work experience
  • Reliable vehicle and valid California driver’s license

KNOWLEDGE AND SKILLS

  • Strong organizational skills are required to balance multiple demands, set priorities and meet critical deadlines. 
  • Candidate must be able to effectively manage competing top-level priorities and sensitive assignments in a confidential and expedient manner.  Candidate must possess flexibility and adaptability in order to address issues or challenges that may quickly arise, then change course without notice. 
  • Strong communication skills and abilities are key to the success and efficiency of this position.  Candidate will communicate with people both within and outside of Alameda County (i.e. constituents, members of the public at large, advocacy groups, elected officials and their representatives, members of the media, business leaders and various levels of internal and external County staff). 
  • Candidate must be assertive while exercising diplomacy and tact when interfacing with others.         
  • Knowledge and experience in politics, local government, community organizations and County programs is desired.
  • Proficient in English grammar, spelling, syntax and punctuation is required.
  • Experience in information dissemination techniques and methods is required.
  • General knowledge regarding Alameda County and First District communities is desired.
  • Computer proficiency is required.  General working knowledge of all Microsoft computer applications (Outlook, Excel, Word, PowerPoint, and Publisher) also required. 
  •  Proficiency in social media uses and platforms is desired.
